If you are currently seeking a property to rent, check out our property search page. If you have seen a property that you would like to view you can contact us via the website or by phone. Once you have viewed a property and decided to proceed with the letting, you will be required to complete an application form. Please note, the applicant or someone on their behalf must view the property before submitting an application form to us.
You can complete an application form by attending our office or a form can be emailed to you upon request. An application form is required for each person applying for the property. The application form is checked by affordability and the date the applicant is looking to move in by. Once the application has been accepted, you will be notified in the first instance.
The Agent can take a Holding Deposit from a tenant to reserve a property whilst reference checks and preparation for a tenancy agreement are undertaken.
The Holding Deposit is equivalent to one week’s rent.
Repaying the Holding Deposit
The landlord or letting agent who received the Holding Deposit must repay it if:
• The landlord and tenant enter into a tenancy agreement.
• The landlord decides before the deadline for agreement not to enter into a tenancy agreement.
• The landlord and the tenant fail to enter into a tenancy agreement before the Deadline for Agreement.
Retaining the Holding Deposit
The landlord or letting agent who received the Holding Deposit can keep it if:
• The tenant fails a Right to Rent check regardless of when the deposit was accepted.
• The tenant provides false or misleading information to the landlord or letting agent, which the landlord is reasonably entitled to consider in deciding whether to grant the tenancy because this materially affects their suitability to rent the property.
• The tenant notifies the landlord or letting agent before the deadline for agreement that they have decided not to enter into a tenancy agreement.
• The tenant fails to take all reasonable steps to enter into a tenancy agreement.
Each applicant will be required to provide the following documents as early as possible, following acceptance. This will enable the agent to commence with the relevant credit and referencing checks. We will need to retain a photocopy of these documents for our records.
Proof of Address; such as Bank Statement, Council Tax Bill, Utility Bill
Photo Identification; such as Passport or Driving License
Employed Applicants; Last three Wage Slips (monthly) or last six Wage Slips (fortnightly)
Self Employed Applicants; Last Tax Year of Accounts submitted to HMRC or Copy of SA302 forms.
Students; Proof of Studies; Proof of Student Loan.
Overseas Students; Proof of Studies, Proof of Sponsorship, Proof of Visa
Housing Benefit Applicants; Proof of HB Allowance, Tax Credits
Credit Checks; We will use the services of an independent referencing agency to carry out these checks. The credit check will provide us with an insight into a tenants credit profile. The check will confirm a clear result if you are accepted or declined. The document will report any adverse credit history, such as County Court Judgments, Bankruptcies and Insolvencies.
Right to rent checks; A private landlord or letting agent must do a 'right to rent check' before they rent you a home in England. This means we will check your immigration status and that of anyone aged 18 or over who'll be living with you.
Bank verification checks; This check verifies that the account details you have provided are for a genuine bank account.
Employers Reference; We will obtain a reference from the applicants current employer. The information we request will determine the applicants salary including any bonuses and length of employment.
Landlords Reference; We will obtain a reference from the applicants current Landlord or Agent. The information we request will determine the applicants rent pcm, arrears if any, length of tenancy, outcome of property inspections and any record of anti-social behaviour.
Pet Reference; If having a pet has been agreed as part of your application, we will require you to complete a pet application form which provides information about the pet and we will obtain a pet reference from your current landlord or agent.
Guarantor;
If a Guarantor is required to support your application, they will also be required to complete a Guarantor application form. The Guarantor will also have a credit check completed and is required to be a Home Owner in the UK.
The Tenant Fees Act 2019 limits the value of tenancy deposits to five weeks’ rent for annual rentals of under £50,000. A deposit of six weeks’ rent will continue to apply where the annual rent is £50,000 or more.
The Deposit amount will be requested from you upon completion of the credit and reference checks and you will be notified in writing of the same.
The agent is registered with the TDS (Tenancy Deposit Scheme) who are run by The Dispute Service Ltd. It is an insurance backed tenancy deposit protection scheme authorised by the government. A certificate of registration will be provided to you with a unique reference number to confirm registration has taken place. The deposit stays protected for as long as you are a tenant and will be refunded back to you upon a satisfactory check-out inspection and as according to the rules of the TDS.
The first months rent will be requested from you prior to the check in and will need to be received to our client account in cleared funds before the tenancy agreement is signed.
Under the Tenant Fees Act 2019, The agents will no longer be able to take a higher security deposit for tenants with pets; the maximum five or six weeks rent for Tenancy Deposits cannot be exceeded. But this does not prevent the Agent from claiming damages for breach of the tenancy agreement and therefore; damage done by pets can still be claimed for.
The acceptance of a pet must be agreed prior to the commencement of the Tenancy by the Landlord/Agent, before a tenant is allowed to bring a pet into the property.
The Agent will be able to charge a higher monthly rent for tenants with pets, if a pet has been agreed. This will be discussed with you at the earliest opportunity.
The tenant is expected to have contents insurance prior to a tenancy commencing. The Landlord is to have Building insurance as part of their contractual agreement and may have contents insurance for fully furnished properties, but this would not cover the tenants personal belongings.
The check-in appointment is booked upon completion of referencing and after the Deposit has been paid. The check in appointment is held at the property to allow both agent and tenant to go through the tenancy pack which includes the signing of the tenancy agreement, obtaining meter readings and handover of keys.
A preview copy of the tenancy agreement will be sent to you for reading, prior to the check-in date. If you are unsure of your obligations under this agreement, then you are advised to take independent legal advice before signing.
Before the start of the tenancy, an inventory & condition report is prepared detailing the contents and condition of the property. A copy of this report is given to the tenant as part of the tenancy pack on the check-in appointment. It is important that the tenant checks the report within the given timescales and confirms any amendments or acceptance of its content within 5 working days.
Property Inspections are carried out throughout the term of the tenancy for managed properties and if the landlord has agreed for the agent to undertake them. The first inspection is completed approximately three months from the tenancy commencement date and periodically throughout the year. The agent will notify the tenant in writing of the inspection date.
The check-out appointment is arranged when notice is given by the tenant or agent at the end of the contract term. The check-out appointment is held at the property with the tenant or after the keys have been handed back to the agent on the expiry of the tenancy. This coincides with the rules of the Tenancy Deposit Scheme.
